What Is Notta?

Notta is an AI-powered meeting productivity platform that helps teams turn conversations into searchable, actionable knowledge. Product teams can capture or import online and in-person conversations, review transcripts, and use selected records and files with Notta Brain — AI Meeting Execution Engine. The goal is not to collect recordings for their own sake; it is to keep the context, decisions, and open questions that help teams make better product work.

Conversations are an undervalued team asset: a request may contain a need, a workaround, a constraint, and an exception. Notta helps preserve that signal from capture through understanding, visualization, search, and action.

Multi-Source Capture Routes for Product Teams

Choose the capture route that fits the conversation, permissions, and working conditions. A single research project can bring several source types together for review.

Online customer and product meetings

Use Notta Bot for supported Zoom, Microsoft Teams, Google Meet, and Webex meetings. The visible bot can record and transcribe; AI Notes can provide a structured recap. Admission, host permissions, meeting access, and organization settings can affect recording.

Desktop capture without a meeting bot

Notta Desktop — local-first desktop transcription client captures system audio and your microphone without a Notta Bot joining. Standard Bot-Free recording captures audio locally, encrypts it, and uploads it for real-time transcription. Computer-audio capture requires macOS 13+ or Windows 10+.

Pro Privacy Mode is separate: with its supported local model and workspace setup, recordings and transcripts stay in the selected local workspace for offline transcription. Cloud summaries, Brain, cross-device sync, and ordinary team collaboration are paused or limited in this mode.

Before an important interview, check system audio and microphone inputs. System capture may also include device notifications or other sounds.

In-person interviews and workshops

Record with the Notta mobile app or Notta Memo — pocket-sized AI recorder. Memo has four MEMS microphones for in-person conversations. Its recordings can be made without an internet connection, then synced to Notta for cloud transcription and further AI work.

Memo’s single bone-conduction microphone is specifically for phone-call recording when the device is attached to the back of a phone. For any in-person recording, placement, distance, background noise, and overlapping speech still matter.

Existing recordings and supported links

Upload supported audio and video, including WAV, MP3, M4A, MP4, and MOV, to create a transcript for review. Audio files are limited to 1 GB each and video files to 10 GB each; duration and monthly upload allowances are separate limits. Supported online audio or YouTube material may also be imported by link or through the Chrome extension, depending on source access and feature availability.

Link-based uploads do not support bilingual transcription mode. For a supported meeting transcription, confirm the source can be accessed before relying on it.

Product demos and prototype reviews

Notta Web screen recording can capture the screen, shared computer audio, microphone input, and supported camera video alongside a transcript. Recording time is limited to 30 minutes on Free and two hours on paid plans. Free users can view only the first three minutes of the transcription.

This can preserve what a participant saw as well as what they said. For a clearer handoff, turn a product demo summary into an evidence-linked review rather than relying on memory alone.

Selected sources in Notta Brain

Use relevant meetings, transcripts, and files as context for Notta Brain — AI Meeting Execution Engine. It can compare selected sources and help draft reports, presentations, tables, and follow-up emails. Direct Brain-session uploads can include PDFs, Word, Excel, and PowerPoint documents, plus supported image formats.

A batch allows up to three documents or ten images, with total uploaded size under 32 MB. Files added directly to a Brain session are temporary context and are not automatically stored in the Library. Create a product research synthesis from selected evidence, then verify it against the sources.

Keep transcription inputs separate from Brain documents

Audio and video transcription

Upload supported audio or video files such as WAV, MP3, M4A, MP4, or MOV to create transcripts. A PDF is not an audio or video transcription input.

Notta Brain file analysis

Add PDFs, Office documents, and supported images to a Brain session as analysis context. That helps combine research or consulting materials with selected meeting knowledge without confusing document analysis with transcription.

What You Get from a Multi-Source Workflow

The value comes from preserving context, not simply accumulating transcripts. A consistent review process helps teams keep the signal and act on it with care.

Find evidence across sources

Search transcripts and revisit a passage instead of relying on scattered notes or recall.

Compare needs without flattening them

Notice recurring requests while keeping account-specific circumstances and exceptions visible.

Preserve the reason behind a request

Keep participant context, need, workaround, and supporting passage together for later review.

Move from transcript to deliverable

Use Notta Brain to draft a report, table, presentation, or follow-up email from selected context.

Separate evidence from decisions

Mark what a participant said, what the team inferred, what is proposed, and what has been approved.

Create a clearer team handoff

Share a reviewed synthesis with relevant excerpts, open questions, and next research steps in view.

How It Works

A reliable synthesis starts with a suitable capture route and ends with a human-checked handoff.

Step 1

Capture or import

Choose a meeting, desktop, mobile, Memo, screen recording, link, or supported file route.

What you see: a source record ready for transcription or review.

Step 2

Review and organize

Check transcript details, confirm important wording, and select relevant meetings and files.

What you see: a focused set of sources with context intact.

Step 3

Synthesize and act

Use Notta Brain to compare sources and draft a product synthesis, requirements draft, or decision brief.

What you see: a draft deliverable to validate before sharing.

For a reusable research transcript synthesis, keep each claim close to its supporting passage. A draft can help organize evidence, but it cannot determine on its own whether a theme represents your users.

Features for a Product-Team Capture Workflow

A practical workflow connects capture, review, and output. These features support different stages rather than treating every source as the same kind of input.

Core workflow features

  • Capture supported online meetings with Notta Bot as a visible participant.
  • Record computer audio and microphone input with Notta Desktop Bot-Free mode.
  • Record in-person conversations with the mobile app or Notta Memo.
  • Upload supported audio and video files for searchable transcription.
  • Use selected records and appropriate documents as Notta Brain context.

Reliability & control

  • Check admission, host permissions, access, and organizational recording rules before an online meeting.
  • Confirm desktop system-audio and microphone inputs before an important conversation.
  • Use Pro Privacy Mode as a separate local offline transcription workflow, not as the default Bot-Free mode.
  • Review names, dates, specialist terms, speaker labels, and overlapping speech against the source.
  • Follow participant consent, recording permissions, and organizational data-handling rules.

Integrations & export

  • Capture supported meetings on Zoom, Microsoft Teams, Google Meet, and Webex.
  • Use web, mobile, Chrome extension, desktop, and Memo entry points where appropriate.
  • Use Notta Brain to prepare drafts such as reports, presentations, tables, and follow-up emails.
  • Analyze supported PDFs and Office files in Brain separately from audio/video transcription.
  • Build a product requirements draft that retains supporting statements and unresolved questions.

Review Before You Share or Decide

Notta Brain can help organize and visualize selected sources, but its findings remain drafts. Product managers are responsible for research quality, interpretation, validation, prioritization, and final product decisions.

A useful synthesis keeps six things together

  1. Participant context: an approved identifier, relevant circumstances, and source date.
  2. Need and workaround: the problem behind a request and its supporting passage.
  3. Difference or exception: accounts or conditions that do not fit a tentative theme.
  4. Decision status: what was stated, proposed, confirmed, or left unresolved.
  5. Next research question: what needs rereading, participant follow-up, or validation.

A compact comparison example

Two interviewees may both ask for an export. One needs to review work offline; another needs to hand the result to a colleague. Treating both comments as the same feature request hides the different jobs behind them. Keep the shared label, but preserve each participant’s reason and evidence.

A customer interview analysis is more useful when the exception remains visible beside the recurring theme.

Review speaker-labeled transcript passages alongside the recording.

Check the evidence

Search the transcript, inspect surrounding text, and replay consequential wording before using a claim in a brief.

Keep disagreements visible

Do not smooth different user needs or missing owners into a single neat conclusion. Flag what still needs validation.

Make the handoff clear

Label participant statements, team interpretation, proposed requirements, and approved decisions as distinct things.

Workflow Comparison

The table compares workflow patterns, not named vendors. Actual capabilities vary by tool and configuration.

Workflow need Notta multi-source workflow Meeting-only capture pattern Manual file review pattern
Sources in scope Supported meetings, desktop, mobile, Memo, screen recordings, links, and uploaded audio/video. Online meetings included in that capture setup. Files the team collects and reviews manually.
Transcript review Search and review transcript passages against the recording. Review the records available from the meeting capture route. Review notes or source content using the team's chosen process.
Cross-source synthesis Select relevant records and files for Notta Brain analysis and draft deliverables. Requires the meeting sources to be brought into a synthesis process. The team assembles comparisons and outputs manually.
Evidence and exceptions Review source passages and preserve unresolved differences before sharing. Depends on how the team reviews and records evidence. Depends on the team's review and documentation practice.

Proof: Practical Limits and Customer Experience

The useful measure of a capture workflow is whether the team can find and check the context it needs. These product details set clear expectations for common routes.

  • Upload limits are up to 1 GB per audio file and 10 GB per video file; duration and monthly upload allowances are separate limits.
  • Notta Web screen recording supports up to 30 minutes on Free and two hours on paid plans; Free users can view the first three minutes of transcription.
  • Notta Memo stores approximately 144 hours of recordings on 32 GB; cloud transcription requires syncing recordings to Notta.
  • Direct Notta Brain uploads allow up to three documents or ten images per batch, with total uploaded size under 32 MB.

“I just love the ability of Notta to record meetings, transcribe notes and then be able to go back to that and remember what I committed to. Very convenient and super helpful to review before my next meeting or when following up with tasks.”

FAQs

Answers to common questions about multi-source product research capture, review, and Notta plans.

What does a multi-source audio capture workflow mean for product teams?

It is a repeatable way to capture product conversations from different sources, review their transcripts against the recordings, organize relevant records, and use selected sources to build a checked synthesis. Sources can include online meetings, desktop audio, in-person recordings, and supported audio or video files. The aim is to keep decisions, needs, exceptions, and open questions searchable together.

Can Notta capture a meeting without a Notta Bot joining?

Yes. Notta Desktop can capture system audio and microphone input without adding a Notta Bot to the meeting. In standard Bot-Free mode, the audio is captured locally, encrypted, and uploaded for real-time transcription. Pro Privacy Mode is a separate workflow for local offline transcription, with recordings and transcripts stored in the selected local workspace.

Can product teams use existing recordings and documents?

Supported WAV, MP3, M4A, MP4, and MOV files can be uploaded for transcription. PDFs, Word, Excel, and PowerPoint files, as well as supported images, can be added to Notta Brain for analysis. A PDF is Brain context, not an audio or video transcription input. Brain-session files are temporary context and are not automatically stored in the Library.

What should product teams check before sharing a Brain synthesis?

Replay consequential passages and check names, dates, specialist terms, speaker labels, and overlapping speech. Keep exceptions and disagreements visible, and distinguish participant statements from interpretations, proposed requirements, and approved decisions. Brain-generated findings are drafts for review, not proof that a theme is representative. Product teams remain responsible for research quality and final decisions.

What are Notta Memo's recording limits and specifications?

Notta Memo weighs 28 g and has four MEMS microphones, 32 GB of storage, and a 470 mAh battery. It can store approximately 144 hours of recordings and records offline, but must sync to Notta for cloud transcription and further AI work. Its bone-conduction microphone is for phone-call recording when Memo is attached to the back of a phone.

How much does Notta cost, and what trial options are available?

Notta uses subscription plans rather than an official standard per-minute price. Pro offers a seven-day trial for $1, and Business also offers a seven-day trial; the Business trial is not described here as free. Plan prices, quotas, and trial eligibility can change, so check the current Notta pricing page for the latest details.
